What is in it
- Register. One row for each item: what it is, its serial or plant number, where it is, the kind of examination or inspection, the last date and who did it, the report reference and any defects. The next date works itself out from the kind; where a report or a scheme sets the date, type it in and it wins.
- Kinds. Each kind with its interval, whether the rule is law, guidance or a standard, and the page it comes from.
The kinds and their intervals, checked on legislation.gov.uk and hse.gov.uk in September 2026:
- LOLER, equipment lifting people (a MEWP): at least every 6 months. LOLER regulation 9
- LOLER, lifting accessories (chains, slings, a detachable quick hitch): at least every 6 months.
- LOLER, other lifting equipment (a crane, an excavator used for lifting, a fixed quick hitch): at least every 12 months.
- LOLER under an examination scheme: the scheme's date, from the report.
- PUWER inspection: at suitable intervals set by a competent person: the date comes from the inspection. PUWER regulation 6
- Working platform or scaffold: inspected within the previous 7 days where a fall of 2 metres or more is possible. Work at Height Regulations, regulation 12
- 110V portable tools on site: a combined inspection and test every 3 months is HSE's suggestion, not a legal requirement. HSG107
- Fire extinguisher service: no legal interval; the annual service is British Standard practice. Type the date on the service label.
What the law asks you to keep
A LOLER examination report is kept until the next one is made or for two years, whichever is later; an inspection record until the next inspection is recorded. Records do not have to be on paper, but you should be able to produce a written copy. The full rules, and what a report must contain, are in LOLER register: what to keep and when examinations are due. For the inspections themselves, see PUWER inspection checklist.
When the spreadsheet stops being enough
Site Ready, the compliance register I built on Microsoft 365, keeps the same kinds with the same rules, warns before anything falls due and sends the director a summary every Monday. How it works: Site Ready.
Questions
Is the register free?
Yes. Download it, change it and share it. There is no sign-up and no email address to give.
Are the intervals targets?
No. They are the longest the law allows. LOLER also asks for a thorough examination after installation or assembly at a new site, and after exceptional circumstances that could affect safety, and an examination scheme can set other dates.
Does it replace the examination reports?
No. The reports are the legal record and must be kept. The register tells you which report is the latest and when the next examination is due.
Which version of Excel does it need?
Any recent version. It uses ordinary formulas: EDATE and VLOOKUP.
