CSCS Card Expiry: What Happens and How to Track Every Operative's Cards

Construction

A card runs out on a Tuesday. Nobody notices, because nothing happens. Then the operative arrives at a principal contractor's gate, the card is scanned, and the screen says it is not valid. The operative goes home, and the day's work with them.

Card expiry is one of the few compliance problems a firm can see coming years ahead. The date is printed on the card. The trouble is that it is printed on a card in someone else's wallet.

What happens when a card expires

The legal duty sits elsewhere. Under CDM 2015, whoever appoints a contractor "must take reasonable steps to satisfy themselves" that the contractor has the skills, knowledge and experience for the work (CDM 2015, regulation 8). A valid card is the evidence most clients ask for.

How long the common cards last

These were checked on each scheme's own page in September 2026. The date printed on the card always wins.

The full list, with the source of each, is in the free training matrix template.

Renewing before it runs out

When. "CSCS cards can only be renewed six months prior to, and up to a year after, the expiry date printed on the card" (CSCS renewals). Some cards cannot be renewed at all: Apprentice, the five year Trainee card, Industry Placement, Provisional, Experienced Worker and Experienced Technical. Their holders move to another card.

What it needs.

CSCS's own pages do not agree on how long a renewed Labourer card lasts, so check the Labourer card page at the time of renewal rather than trusting a number from elsewhere.

Who is told. CSCS sends an expiry notice to the card holder about six months before the date (CSCS terms). To the holder, not to the employer. If the operative has changed email address, nobody is told.

CPCS blue cards have their own route: the HS&E test within two years, the CPCS CPD renewal for each category, and proof of ongoing operating experience (CPCS renewal).

Checking that a card is genuine

Looking at a card proves little. CSCS: "Visual card inspections will not detect cards that are fake, have been revoked or fraudulently obtained" (CSCS card checks).

Tracking every operative's cards

A firm with thirty operatives holds sixty or seventy cards and tickets, each with its own date. What works, whatever the tool:

  1. One row for each card, with the person, the full card name, the expiry date from the card and the card number.
  2. A look at the next 90 days once a month, not at the end of the week a card runs out. A CSCS card can be renewed from six months before its date, so 90 days leaves room for a test and the application.
  3. The renewal booked by the office, not left to the operative, with the HS&E test checked first: a test older than two years means a new test before the renewal.
  4. A Smart Check scan when someone new starts, and the result kept with the record.

The free training matrix template does the first two in Excel: every card with its date, coloured red, amber or yellow as it gets close. When the spreadsheet stops being enough, Site Ready, the register I built on Microsoft 365, sends the warning itself and a Monday summary to the director.

Want the cards on your jobs tracked without anyone opening a spreadsheet? Tell me how you keep them now. Half an hour on Teams, no charge, and I will tell you what I would build first and roughly what it would take.
